  • Your booth type will be confirmed through the Exhibitor Onboarding Form.

    There are four exhibiting options:

    Standard Shell Scheme

    Supplied by Harry the Hirer and included with all 3m x 3m booths and 6m x 3m booths. For full inclusions see tab below.

    Shell Scheme Without Fascia – Peninsula

    Available for 3m x 3m and 6m x 3m booths. You must select this option in the Exhibitor Onboarding Form.

    Please note that your company name will not appear on a fascia board, so you will need to arrange clear signage within your booth.

    Upgraded Shell Scheme

    You can upgrade the design, hire furniture, signage and other features of your shell scheme directly with Harry the Hirer.

    Custom Build – Bare Space

    A bare-space booth does not include a stand build, power or lighting. The exhibitor is responsible for arranging all design, construction, flooring, electrical services, lighting, signage and furniture & a venue permit. Your booth builder should organise this permit for you. There are further instructions below.

    YOUR BOOTH

  • STANDARD SHELL SCHEME

    A shell scheme is a ready-built modular booth installed by Harry the Hirer before exhibitors arrive.

    It consists of an aluminium frame with white wall panels. The back and enclosed sides of your booth will have walling, while sides facing an aisle will be open. The exact number of open sides depends on your position on the floor plan.

    Your shell scheme includes:

    • White wall panels on the enclosed sides
    • Carpet tiles
    • Fascia signage displaying your exhibiting company name
    • Standard power (4amp) and lighting

    Furniture, additional power, digital screens, storage, printed graphics and other upgrades are not included.

    Decorating Your Shell Scheme & Upgrades

    You can add printed wall graphics, furniture, screens, shelving and other display items by ordering them through Harry the Hirer or another approved supplier. Please do not paint, drill, screw, nail or permanently attach anything to the shell scheme panels.  Any damage to the walling or framework may be charged to the exhibitor.

  • CUSTOM BUILD

    A custom-built booth gives you an empty floor area in which to create your own stand. It allows you to design a booth specifically for your brand, including custom walling, flooring, signage, lighting, storage and display areas.

    Bare space does not include:

    • Walling
    • Flooring or carpet
    • Fascia signage
    • Power
    • Lighting
    • Furniture

    You are responsible for arranging all elements of the booth through Harry the Hirer or your chosen stand builder.

    Building With Harry the Hirer

    Harry the Hirer is the official show builder. If Harry the Hirer is designing and building your custom stand, they will prepare the plans and submit them to ICC Sydney for approval on your behalf.

    You will still need to confirm your booth type and provide the relevant details in the Exhibitor Onboarding Form.

    Using Your Own Stand Builder

    If you appoint another stand builder, you must provide:

    • The contractor’s company and contact details
    • An onsite contact for move-in and move-out
    • A current public liability insurance certificate
    • Detailed stand plans and elevations
    • The completed ICC Sydney Custom Stand Plans Permit
    • Any engineering certificates or additional permits required for the build

    Upload these documents through the Exhibitor Onboarding Form by 1 March 2027.

    Your contractor must also complete the required ICC Sydney contractor induction before accessing the venue.

    ICC Sydney Approval

    All custom stand plans must be approved by ICC Sydney before construction begins.

    Custom stands in Halls 2 and 3 must not exceed five metres in height. Additional requirements apply to double-storey stands, raised floors, enclosed ceilings, rigging and other specialised structures.

    Completing the permit form does not mean the stand has been approved. Please wait until written approval has been received.

  • EVENT PLATFORM - APP

    The Australian Healthcare Week event app is powered by Grip. It is the main event platform for networking, arranging meetings and accessing event information and will be open from Oct 30th 2026. Exhibitors will be provided detailed instructions on how to use the app.

    Through the app, exhibitors can:

    • Create and update their personal profile
    • View the event agenda
    • View speakers, exhibitors and participating attendees
    • Add sessions to their personal schedule
    • Request, accept and manage meetingsSet their meeting availability and preferences
    • Receive important event updates
    • Scan attendee badges where lead scanning has been booked

    The app does not replace exhibitor registration. Registration is managed separately through Lüp Events.

    How the Process Works

    Step 1: Complete the Exhibitor Onboarding Form

    The onboarding form confirms your exhibiting company name and allows us to add your company to the registration system.

    Step 2: Register Your Team

    Once your company has been added, the primary contact will receive a exhibitor registration link from Lüp Events.The primary contact can use this link to register team members or share it with staff so they can register themselves. Every person must complete their own registration using their individual email address. You will not be able to register multiple people under the same email address, as each person will need their own app login, badge and meeting schedule.

    Step 3: Access the Event App

    When the Grip event platform opens, registered team members will receive an email with instructions for accessing the app. Sign in using the same email address used for your Lüp registration.

    Step 4: Complete Your Profile

    Once signed in, please:

    • Upload a profile photo
    • Check your name, job title and company
    • Add your biography and areas of interest (important profiling questions)
    • Select your meeting preferences
    • Add your availability
    • Review your company profile - update information and logos.

    A complete profile makes it easier for other attendees to understand who you are and why they may want to meet with you.

    Step 5: Arrange Meetings

    You can search for attendees, exhibitors and speakers and send meeting requests through the platform.

    Your access and meeting options will depend on your registration type:

    • Sponsor Executives can participate in the structured must-meet programme and arrange additional meetings.
    • Exhibitor Staff can use the platform for general networking and free-flow meeting requests.

    Please monitor your meeting requests and respond promptly so other participants can finalise their schedules.

    Step 6: Use the App

    Onsite

    Keep the app available throughout the event to check your agenda, meeting times, locations and event updates.

    If lead scanning has been booked and activated for your team, you can also use the app to scan attendee badges and collect leads at your booth.

    Each team member who needs access must be registered individually.

    • STAFF PASSES & INCLUSIONS

      Everyone working on an exhibition stand or attending Australian Healthcare Week on behalf of an exhibiting company must be registered and have a valid event pass.

      There are two exhibitor pass types available.

      Exhibitor Staff Pass : For team members working on your exhibition stand.

      This pass includes access to:

      • Expo Floor
      • Demo Labs
      • On-floor stages

      Sponsor Executive Pass : A premium exhibitor pass that includes everything available with an Exhibitor Staff Pass, plus:

      • Executive Lounge, including the coffee and refreshments station
      • Executive Networking Drinks
      • Executive Discussion Groups
      • Access to Grip MustMeet

      Some exhibiting companies have Sponsor Executive Passes included in their event package.

      When registering yourself or your staff, you can select an Exhibitor Staff Pass or Sponsor Executive Pass, subject to the number of each pass type allocated to your company.

      Additional Sponsor Executive Passes can be purchased during registration. You can also upgrade an Exhibitor Staff Pass at a later date, subject to availability.

      Meetings through Grip

      All registered Exhibitor Staff and Sponsor Executives can use Grip to arrange and attend free-flow meetings. Free-flow meetings allow you to search for other event participants and send meeting requests directly.

      A meeting is added to your schedule once the recipient accepts your request.

      Sponsor Executives also have access to MustMeet, Grip’s structured meeting programme.

      Sponsor Executives select the attendees they would most like to meet, and Grip uses these preferences to create a schedule of matched meetings.

      How to Register

      Please complete the Exhibitor Onboarding Form first.

      This confirms your exhibiting company name and allows us to add your company to the registration system. Once your company has been added, the primary contact will receive a registration link from our registration provider, Lüp Events.

      The primary contact can use this link to register themselves and other team members, or share it with staff so they can complete their own registration. The pass types available will be based on your company’s allocation.

      When the Grip event platform opens at the end of October, registered team members will receive instructions on how to sign in, update their profiles and add their meeting preferences. See information above on Event App. More information and detailed instructions will be sent to all registered exhibitors and staff.

        Custom stand exhibitors: From 12:00pm

        All other exhibitors: 12:00pm–6:00pm

        Show Days

        Wednesday 17 March: 8:30am–6:00pm

        Thursday 18 March: 8:30am–4:30pm

        Exhibitors may access the halls from 7:30am on both show days.

        Move-out

        Move-out begins at 4:30pm on Thursday 18 March.

        Please do not dismantle or pack down your stand before the event closes.

      • OFFICIAL SUPPLIERS

        Show Build

        Harry the Hirer is the official show builder for Australian Healthcare Week.

        Contact Harry the Hirer for stand upgrades, furniture, signage and other stand requirements. See the contacts page for more information. Exhibitors are able to use their own contractors with organiser permission.


        Digital Displays

        Hire Intelligence is the official digital display provider. Contact Hire Intelligence if you require digital signage, touch screen monitors, digital screens or other display equipment for your stand.

      • LEAD SCANNING

        Lead scanning allows your team to scan attendee badges and collect contact information during the event. This is an essential part of your post event followups as well as an overall assessment of how your. You can order lead scanning through the Exhibitor Onboarding Form.

      • DELIVERIES & FREIGHT

        ICC Sydney cannot accept freight before the scheduled move-in period and does not provide onsite storage.

        • All courier and freight vehicles using the loading dock must be booked in advance.
        • No deliveries prior to 2pm Monday 15th March.
        • All freight must be correctly labelled using the event delivery label. See below.
        • Unscheduled vehicles may be turned away from the loading dock.
        • Vehicles may remain on the loading dock for a maximum of 20 minutes unless another arrangement has been approved.
        • Packing cases, pallets and other materials cannot be stored on the loading dock.
        • Large items and trolleys cannot be taken through the venue’s guest lifts or escalators.
        • Loading dock access: Darling Drive, Sydney.
      • EVENT FREIGHT MANAGEMENT

        GEL Events is the official freight forwarder and onsite logistics provider for Australian Healthcare Week.

        We highly recommend using GEL Events to transport your freight to and from the event. Their team will receive and manage your freight, deliver it directly to your booth and arrange its return after the event.

        GEL Events also manages the loading dock and onsite freight movements throughout move-in and move-out. Bookings open in October.

      • ELECTRICAL EQUIPMENT

        All electrical equipment brought onsite must be tested and tagged in accordance with NSW requirements. This includes laptops, chargers, screens, lighting, extension leads and other electrical equipment.

        Testing and tagging can be requested through the Exhibitor Onboarding Form.

      • MOVE IN - MOVE OUT SAFETY

        During move-in and move-out:

        • Enclosed footwear must be worn.
        • Open-toed shoes, sandals, high heels and jandals are not permitted.
        • High-visibility clothing / vest must be worn at all times.
        • Children under 15 are not permitted in the exhibition halls or loading dock.
        • Contractors carrying out high-risk work must complete the ICC Sydney contractor induction.
        • Aisles, emergency exits and fire equipment must remain clear
      • INTERNET

        Free public Wi-Fi is available for basic browsing, email and social media.

        If your stand relies on a stable or dedicated internet connection for demonstrations, streaming or presentations, you should order a premium connection through ICC Sydney.

        This service should be ordered in advance through the ICC Sydney Exhibitor Services team.
